Payment Terms 

  • Prepayment by check, money order, certified funds, purchase order or credit card required for all orders. Payment is required before products or services will be provided.
  • AEE is not responsible for payments or fees which are lost or stolen in transit.
  • AEE is not responsible for bank fees or penalties.

Purchase Orders

Purchase orders (P.O.) are accepted as a method of placing an order from businesses, educational institutions, and other organizations, provided the following conditions are met:

  • A copy of the actual P.O. is provided to AEE via mail, fax or email.        
  • Payment terms are Due on Receipt of invoice (immediately), not net 30. Payment is required before products or services will be provided.
  • Billing and shipping (if applicable) addresses are clearly stated.
  • Billing contact name, email and phone number are clearly stated.
  • P.O. is signed by an authorized purchasing agent.
  • Publications:  
    • Please include the title, quantity, buyer name, email and phone.
    • Wholesale accounts: please contact [email protected] re discounts and shipping arrangements before creating your PO.
    • If emailing a publications PO, please email to [email protected]
  • Taxes:  Product shipments by and to purchasers within Colorado are taxed. Nonprofits within CO: Please email your tax exempt form to [email protected] prior to ordering products to receive further instructions.
  • Shipping: Purchaser will pay all shipping costs for products as billed by AEE. Wholesale accounts may specify bill to recipient if they have a current UPS account #.
  • Conference Registrations: A registration form must be submitted with P.O.  Multiple registrations may be included on one P.O.; however, a separate registration form must be completed for each conference attendee. If emailing a conference PO, please email to [email protected]
  • Membership Join or Renew: A membership application must be submitted with P. O. for all memberships. If emailing a membership PO, please email to [email protected].
  • Purchase Orders are considered contracts for payment.  Your account with AEE must currently be in good standing and have previous acceptable payment history (no balances due older than 30 days, no bad debt or write-offs, not in bankruptcy status).  


Fees and prices are exclusive of tariffs, duties or taxes imposed or levied a government or governmental agency. Some orders may be subject to state and / or local sales / use tax.  AEE reserves the right to correct tax rates and / or collect the sales / use tax required by law.

  • Product shipments by and to purchasers within Colorado are taxed. 
  • Nonprofits within CO: Please email your tax exempt form to [email protected] prior to ordering products to receive further instructions.

Forms of Payment

Checks, money orders and certified funds must be made payable to “Association for Experiential Education” or “AEE” and drawn on a U.S. bank in U.S. dollars.   

  • Mastercard, Visa, Discover and American Express are accepted. 
  • All prices are in U.S. dollars. 
  • Prices and availability are subject to change without notice. 

Returned Checks

Once the bank notifies AEE of a returned check, the issuer of the check is notified by mail.  Pursuant to Colorado law, the issuer of the check will have fifteen (15) days from the date of the letter to redeem the check by paying in full the amount of the check, plus a return check fee of $20.00.  Payment of returned check and returned check fee must be made with cash, credit card or certified funds.  AEE reserves the right to refuse to accept checks from persons who have previously written returned checks. 

Returns & Refunds


  • Returns must be pre-approved before shipment back to AEE. Please email [email protected]. Damaged or clearance books are not returnable.
  • Wholesale Purchases by Bookstores, Libraries and Institutions: only within 90 days of order date, and the original invoice/order fully paid in order to get Return Authorization. 
  • Non-Wholesale Purchases: only within 30 days of order date, and the original invoice/order fully paid in order to get Return Authorization.
  • A copy of the Return Authorization and the original invoice/order must be enclosed with the returned books. 
  • Returns must be insured for the retail value of contents against potential losses in transit and the return shipping including insurance must be prepaid.
  • There is a 15% restocking fee deducted from your refund. Refund will be by original payment method.
  • Shipping and handling fees are not refundable.


All conference fees, less a $50 U.S. administrative fee, will be refunded if a cancellation request is received 45 days prior to the conference start date. Fifty percent of the conference fee will be refunded after this date and until fifteen days (15) prior to the conference start date. There will be no refunds after this date.   • Bookstores and other institutions receive a 20% wholesale discount on book retail list price.                                        
  • AEE members pricing on books generally ranges 10%-25% lower than the book retail list price.                            


  • AEE members’ conference rates generally range  25%-40% below Non-Member/General Public pricing for both the AEE Annual International and Regional conferences. Please click here for further information.
  • Group registration conference discounts of up to 15% are available to groups of five or more. Groups must register together and pay with a single payment. Contact the Conference & Events Director for details at 303-440-8844, or email [email protected].         


  • Renewing individual, institutional and organizational AEE members receive a discount on membership renewal if renewing before expiration or within 30 days of expiration. 
  • After the 30-day grace period, the same rates as if a new joining member are in effect for late renewals.

Membership Upgrades 

Upgrading a membership is welcomed:

  • During a membership term
  • By electing a higher level at renewal, and if done so before expiration or no later than 30 days after present expiration date, is eligible for renewal rate at the higher level.

If elected during a term already paid for, payment for pro-rating is calculated by AEE staff using the following terms: 

  • Subtract the current annual membership rate from the upgrade membership rate. 
  • Divide the balance by 12 months to arrive at the monthly pro-rated membership. 
  • Multiply the monthly pro-rated membership by how many months are left in the current membership to arrive at the cost of the upgrade.

AEE encourages and welcomes the generous donations of its members and other interested individuals and organizations to continue its mission of developing and promoting experiential education. AEE is committed to supporting professional development, theoretical advancement and the evaluation of experiential education worldwide.

AEE is a 501 (c)(3) non-profit organization and as such your donation may be tax deductible.  Please contact your tax advisor for more information. 

Donations to AEE can be in the form of cash, securities, or property and services other than cash. 

Donations can be given to support AEE’s general operation costs or to support specific programs, regions, groups, or funds.

  • Cash Donations: AEE accepts cash donations via check, money order, certified funds, Echeck, Mastercard, Visa, Discover and American Express.  Donations can be made online or through the mail. To make a monetary donation, click here.
  • In Kind Donations: An in-kind contribution primarily consists of items, products or services that are provided in support of the AEE's mission enabling us to stretch our resources further.  Before making an in-kind contribution, please email [email protected]. If specifically for conference auctions, please email [email protected].
  • Matching Donations: You can multiply the value of your donation by linking to your company’s "Matching" program.  More than 20,000 U.S. companies match employee donations to 501(c)(3) nonprofits. Please contact the Human Resources department to inquire about your company's "Matching" program.  Your company will handle all the processing and require only minimal effort by you.  
  • Planned Donations: AEE accepts planned donations.  Planned donations can take the form of will bequests, annuities, and other types.  We recommend that you contact your financial advisor and family attorney to decide if you want to make this type of donation.
  • Securities Donations: AEE accepts securities donations.  Securities donations are often tax-advantageous to the donor.  For example, if a donor donates appreciated securities, such a donor generally receives a tax deduction on the entire market value of the appreciated securities.  In addition, the donor avoids federal and state tax on any long-term capital gains of the appreciated securities.
  • Endowments: An endowment is a fund created to provide a permanent source of financial support. The principal or value of the fund is never spent. Earnings of the fund are interest, dividends and market gains and/or losses. An endowment exists in perpetuity for the benefit of the association and the special use for which you designate it.  While your gift, the principal, remains invested, the income it earns is spent annually according to your wishes, to benefit AEE.   You may contribute to one or more of AEE’s existing endowment funds, or establish a new, named endowment fund. 
AEE Endowment Funds:
    • Michael Stratton Practitioner Award Fund: In 1986, an endowment was established to fund the AEE Practitioner Award to recognize members who were practitioners in experiential education.  Award recipients are to be people “in the trenches” who are hands-on practitioners, not administrators or project directors who receive recognition by way of other AEE awards.  In 1989, the name of the award was changed to the Michael Stratton Practitioner Award in honor of the first recipient.  Mike Stratton was involved with Outward Bound since its initial course in the mid-sixties in Colorado.  He later worked at the Carroll School in Massachusetts where he created a special program for children with dyslexia.  Mike’s accomplishments, high energy and perseverance are a great model for practitioners everywhere.
    • Van der Smissen Research Endowment: In 2005, the Betty van der Smissen Grant Fund was established.  The purpose of the Betty van der Smissen Grant is to support new research or innovative projects that will advance the field of Adventure Education. Initial donations to establish the grant fund were given by members of the AEE Accreditation Council to recognize Dr. van der Smissen’s contributions to the adventure education field—particularly in the areas of risk management and accreditation.  For more than 50 years, Dr. Betty van der Smissen has dedicated her professional life to excellence in research and programming in the out-of-doors and to the professional organizations related to the outdoors. In 2008, the fund became an endowment fund and was renamed The van der Smissen Research Endowment.
